Privacy & Data Practices

Sections 1–17

01

Personal Information We Collect

#

1.1When you create or use an SKPHost account, we may collect information such as your full name, email address, phone number, billing or contact address, company or organisation information where applicable, and account or customer identifiers.

1.2When you place an order or use our services, we may process information relating to products or services ordered, service identifiers, domain names associated with services, order and activation records, invoice information, and billing or transaction history.

1.3We may also process information that you voluntarily provide through account forms, verification processes, support requests, service communications or other interactions with SKPHost.

02

KYC and Identity Information

#

2.1Where identity verification is required under the SKPHost Terms & Conditions, we may collect and process information necessary to verify the identity of the account holder or authorised representative.

2.2This may include Aadhaar or another identity document accepted by SKPHost, together with information contained in or associated with the verification process.

2.3Identity information may be processed for identity verification, account ownership verification, account security, payment verification, fraud prevention, abuse investigation and compliance with applicable legal requirements.

2.4We may request additional or renewed identity verification where reasonably necessary to confirm identity, account ownership or the legitimacy of an account or transaction.

2.5Access to identity information is restricted to authorised purposes and personnel as reasonably necessary. Customers should submit identity documents only through an authorised SKPHost verification channel.

03

Payment and Transaction Information

#

3.1When you make a payment, SKPHost may process information such as invoice number, transaction or payment reference, payment amount, payment method, payment status, date and time of payment, and information necessary for payment verification or reconciliation.

3.2Payments may be processed using banks, UPI services, payment gateways or other payment service providers.

3.3Where sensitive payment credentials are entered directly into a third-party payment provider’s system, those credentials are processed by that provider rather than directly by SKPHost.

3.4Transaction information may be used for billing records, payment verification, fraud prevention, dispute handling and accounting or legal requirements.

04

Technical Data, IP Addresses and Logs

#

4.1When you access our websites, client systems, hosting infrastructure or related services, certain technical information may be recorded automatically. This may include IP address, date and time of access, browser type, device or operating-system information, requested pages or resources, login activity, authentication events, server logs, application logs, security events and network information relevant to the service.

4.2Technical information may be processed to operate our services, diagnose technical problems, protect accounts and infrastructure, investigate abuse or security incidents, and maintain system reliability.

4.3The exact technical information generated may vary depending on the service, software and infrastructure being used.

05

Support Communications

#

5.1When you contact SKPHost Support, we may process information contained in support tickets, emails, messages, attachments, screenshots, error reports, technical logs and other information voluntarily provided to us.

5.2This information may be used to respond to the request, diagnose technical problems, maintain support records and protect the security of the relevant account or service.

5.3Where troubleshooting requires access to a Customer service or hosted environment, such access should be limited to what is reasonably necessary for the requested support or investigation.

06

How We Use Personal Information

#

6.1We may use personal information to create, authenticate and manage Customer accounts; verify identity and account ownership; process orders and provide purchased services; generate invoices and process or verify payments; and provide customer and technical support.

6.2We may also use personal information to send transactional, billing, security and service-related communications; detect and prevent fraud, abuse and unauthorised access; protect SKPHost systems, networks, services and Customers; and investigate security incidents or material policy violations.

6.3Information may be retained and used to maintain appropriate business, transaction and security records, comply with applicable legal requirements, and establish, exercise or defend legal claims where necessary.

6.4We do not use personal information for purposes materially unrelated to those for which it was collected unless permitted or required by applicable law.

07

Customer Content and Hosted Data

#

7.1Depending on the service purchased, SKPHost infrastructure may process or store websites, files, databases, emails, applications, media and other information uploaded or controlled by a Customer (“Customer Content”).

7.2SKPHost does not claim ownership of Customer Content merely because it is stored or processed using SKPHost-provided infrastructure.

7.3SKPHost does not routinely access Customer Content for purposes unrelated to providing, maintaining or protecting the service.

7.4Authorised access to Customer Content may occur where reasonably necessary for Customer-requested technical support, troubleshooting, service operation or recovery, security investigation, fraud or abuse investigation, compliance with applicable policies, or compliance with a valid legal requirement.

7.5Where a Customer uses SKPHost infrastructure to collect or process personal information belonging to its own users, visitors, employees or customers, that Customer is responsible for determining and complying with the privacy and data-protection requirements applicable to its own processing activities.

08

Cookies and Similar Technologies

#

8.1Our websites may use cookies and similar technologies required for account sessions, authentication, security, website functionality and user preferences such as currency or theme.

8.2We may also use analytics or similar technologies where implemented.

8.3Where applicable law requires consent for a particular non-essential cookie or technology, an appropriate consent mechanism may be provided.

8.4Blocking essential cookies may cause certain website or account features to function incorrectly.

09

Service and Marketing Communications

#

9.1SKPHost may use Customer contact information to send necessary communications concerning an account or service, including invoices, payment information, service notifications, renewal or expiry notices, security alerts, support updates and important operational notices.

9.2Where permitted, we may separately send information concerning SKPHost products, services or offers.

9.3Customers may opt out of optional marketing communications through an available unsubscribe or preference mechanism.

9.4Opting out of marketing communications does not prevent necessary transactional, security, billing or service-related communications.

10

Sharing of Personal Information

#

10.1SKPHost does not sell Customer personal information as part of its normal business operations.

10.2Personal information may be shared with third-party providers where reasonably necessary to operate SKPHost or provide a requested service. Depending on the service, these providers may include payment processors, banks or payment networks, datacenter providers, network providers, domain registrars and registries, SSL or certificate providers, software and licence providers, communications providers, security or fraud-prevention providers, and other technical service providers necessary to deliver the service.

10.3The information disclosed should be limited to information reasonably necessary for the relevant service or purpose.

10.4Third-party providers may process information under their own applicable privacy policies, contractual obligations and legal requirements.

11

Domain Registration Information

#

11.1When a Customer purchases or manages a domain name through SKPHost, certain registration information may need to be provided to the applicable domain registrar or registry.

11.2The processing, availability or disclosure of domain-registration information may depend on the domain extension, registrar or registry requirements, applicable law and any available privacy service.

11.3Different domain extensions and registries may have different data requirements.

12

Security and Fraud Prevention

#

12.1SKPHost uses reasonable technical, administrative and organisational measures intended to protect personal information from unauthorised access, alteration, disclosure, misuse or destruction.

12.2We may process account, transaction and technical information to detect or investigate unauthorised account access, fraudulent transactions, account compromise, malware, phishing, spam, network attacks, security threats and abuse of SKPHost infrastructure.

12.3Where reasonably necessary, information from different SKPHost systems may be compared as part of a security, fraud or abuse investigation.

12.4No internet-connected service, hosting platform or electronic storage system can be guaranteed to be completely secure.

13

Legal Requests and Required Disclosure

#

13.1SKPHost may preserve, access or disclose information where required by applicable law, a binding court order or another legally valid request from an authorised authority.

13.2Where appropriate and legally permitted, SKPHost may review a request before disclosure and may seek clarification or challenge a request that appears invalid, excessive or outside the requesting authority’s lawful powers.

13.3Information may also be preserved or disclosed where permitted by applicable law and reasonably necessary to protect the rights, security or integrity of SKPHost, its Customers, its infrastructure or other persons.

14

International Data Processing

#

14.1SKPHost provides hosting and related services using infrastructure and service providers that may operate in different countries.

14.2Depending on the service selected and the providers involved, personal information or Customer Content may be processed or stored outside the Customer’s state or country.

14.3Where international processing occurs, SKPHost will handle personal information in accordance with applicable legal requirements.

15

Data Retention and Deletion

#

15.1SKPHost retains personal information only for as long as reasonably necessary for the purposes for which it was collected or for legitimate operational, security, billing, fraud-prevention, dispute or legal requirements.

15.2Retention periods may differ depending on the type of information and the reason it is retained.

15.3Deleting an account or ending a service may not result in immediate deletion of information that SKPHost is legally permitted or required to retain, including relevant transaction, invoice, KYC, security, support or legal records.

15.4Information or Customer Content may temporarily remain in backup, recovery, security or other system copies until those copies are overwritten, deleted or expire through the applicable system lifecycle.

15.5When information is no longer reasonably required, it may be deleted, anonymised or otherwise handled in accordance with applicable requirements.

15.6Where the CERT-In Cyber Security Directions of 28 April 2022 apply to a relevant Data Centre, VPS, Cloud Service or VPN Service provider, the specified subscriber/customer information is subject to the retention period stated in those Directions, including five years or a longer period where mandated by law after cancellation or withdrawal of registration, as applicable.

16

Privacy Rights and Requests

#

16.1Depending on applicable law, an individual may have rights concerning their personal information, including the ability to request access to or correction of certain information.

16.2Where provided by applicable law, an individual may also request deletion or exercise other available privacy rights.

16.3SKPHost may require reasonable identity verification before processing a privacy request to protect Customer information from unauthorised access or disclosure.

16.4Certain information may need to be retained even after a deletion request where retention is permitted or required for legal compliance, billing records, security, fraud prevention, dispute resolution or legal claims.

16.5Privacy-related requests may be submitted through the SKPHost Support Page.

17

Changes to This Privacy Policy

#

17.1SKPHost may update this Privacy Policy where necessary to reflect changes in our services, technologies, business operations or applicable legal requirements.

17.3Where required by applicable law, material changes will be communicated through an appropriate method.
